Creating Manual Staff Orders & POS Sales
Learn how staff members create manual orders, process walk-in POS transactions, link CRM customers, apply custom discounts, and record upfront or partial payments.
When to Use Manual Order Creation
Use manual order creation when processing in-person retail sales, phone orders, WhatsApp chat orders, or custom negotiated quotes that occur outside the self-service storefront.
Step-by-Step Manual Order Workflow
To create an order manually:
- Open the Order Slider: Navigate to Dashboard -> Orders and click "+ Create Order" (or click "Record Sale" in the POS view).
- Select Destination Site: Choose the business location where the sale is being made. The slider automatically loads that site's active catalog and currency.
- Select or Create Customer: Choose from three customer modes: "Existing Customer" (search your CRM directory), "New Customer" (enter name, phone, and optional email to save to CRM), or "Walk-in Guest".
- Add Items to Cart: Search and select products or services from your catalog. You can adjust quantities or create a new product/service on the fly.
- Apply Optional Discounts: Apply an optional discount by selecting either Percentage (%) or Fixed Cash Amount (KSh).
- Select Payment Terms: Choose between "Full Payment" (record payment method immediately), "Partial Payment" (record deposit amount and track remaining balance), or "Pay Later / On Credit".
- Review & Submit: Click "Create Order". The order is created, product inventory is decremented, and you are offered an immediate prompt to send the receipt via WhatsApp or Email.
Critical Rule for Credit & Partial Sales
For sales on credit ("Partial Payment" or "Pay Later"), BusinessPlus strictly requires verified customer contact details. Walk-in Guest mode is disabled for credit sales to ensure every outstanding balance is linked to a traceable CRM profile.
Inventory Stock Checks During Creation
The manual order slider checks real-time available stock. If you attempt to add more units than currently in stock for a tracked product, the system displays an "Insufficient Stock" alert and limits the quantity.
